Types of Employees Supported by Cocoon

Please ensure your census data, whether uploaded manually or through integration, includes only US-based employees, as we currently support only US employees.

Overview

Cocoon supports salaried or hourly employees working a fixed, one week schedule below 40 hours a week on a biweekly or semi-monthly pay schedule. This includes:

  1. Employees who work a “standard” 40-hour schedule of Mon-Fri, 9am-5pm

  2. Employees who work fixed schedules (meaning their schedule is always the same week over week) that differ from a standard schedule. Examples of schedules that fall into this category:

    1. Below 40 hours: M-F, 30 hours a week, 6 hours per day

    2. Non Mon-Fri: M-Th, 40 hours a week, 10 hours per day

    3. Weekend shifts: T-Sat, 7 hours a day, 35 hours a week; Sun-Wed, 6 hours a day, 24 hours a week

    4. Partial hours: Monday 10 hours 30 min, Tuesday 5 hours 17 min, Wednesday 6 hours 10 min, Friday 8 hours; 29 hours 57 min a week

At this time, Cocoon cannot support:

  • Schedules that rotate or vary week over week

  • Calculating payroll for overtime hours (mandatory, scheduled or voluntary, unscheduled)

FAQs

Why can’t Cocoon support employees who fall outside these specific schedules?

Currently, Cocoon's software calculates leave, pay, and benefits based on the work schedule provided by the employee when planning their leave. However, employees with variable schedules that do not follow a consistent, one-week pattern may be unable to input their schedules accurately. As a result, they could encounter incorrect information in Cocoon, such as an inaccurate number of leave time or short-term disability benefits they are not eligible for under your company's plan.

How does Cocoon know what schedule each employee works?

In the leave planning flow, we’ll ask your employees to tell us their weekly work schedule. If they say their schedule differs from the standard M-F 9am-5pm, we’ll prompt them to input their scheduled hours so we can accurately calculate their eligibility for leave time and pay.

What are my responsibilities as an employer related to employee schedules?

  1. Reviewing hourly employee schedules: after leave submission, we will prompt you via email to review employees’ schedule inputs to ensure accuracy

    1. In Settings, you can customize which schedules you want to review: all, stable non-standard only. (See screenshot below.)

  2. Calculating any top-up pay for overtime hours: at this time, Cocoon does not provide pay calculations for overtime pay. Note: this is only relevant if your hourly employees are eligible for employer pay during leave.

What happens if an employee selects the wrong schedule type?

As a Workspace Admin, you will have the option to review schedule inputs for any leave submissions from all employees, only those with fixed, non-standard schedules, or none (see question above). This ensures accuracy in case of mistakes. Additionally, employees can always access our Help Center or Support team via schedule call or email if they need assistance.

What about employees that fit into these buckets that already submitted a leave?

Any employee who has previously submitted a leave, or is actively on leave, and doesn’t fit the employee leave types described will be able to finish out their leave.

Do I need to include all employees on my census?

Please only include employees whose schedules Cocoon can currently support.

Would Cocoon cover employees who occasionally vary their regularly scheduled workweek?

Yes, Cocoon can accommodate employees whose work hours meet the required criteria for the entire payroll period referenced in your census. For instance, an employee might follow a fixed Monday-to-Friday schedule of 8 hours per day throughout most of the year but switch to a fixed Monday-to-Friday schedule of 6 hours per day during the summer due to childcare responsibilities when school is not in session. Cocoon supports such arrangements as long as the daily work hours remain consistent across each payroll reporting period. However, if an employee's daily work hours vary unpredictably during the pay period in which they are taking leave, Cocoon cannot support this scenario.

Will Cocoon ever expand support to cover additional employee schedules?

Cocoon is dedicated to enhancing our product to better support employees across diverse work schedules. We are currently working on building out support for schedules that vary week to week, and we would greatly appreciate your insights on what additional support would be most valuable for your company.
