Using the custom email creator

Learn how to use our tool to create custom automated emails to employees

How it works

Navigate to Settings > Custom email to begin.

  • Workspace and Proxy Admins can create custom emails that automatically send to employees based on the following triggers:

    • Upon leave submission

    • 1 week before they return to work

  • You can choose to send each email for a specific leave type (parental, medical, caregiver, personal, accommodation) or all leave types.

  • You can also choose to cc other Admin roles, HRBPs, or the employee's manager

NOTE: Custom emails will send in addition to existing Cocoon emails. They will not replace any of our standard communications or compliance notices.

Email formatting

  • Your custom emails will not include Cocoon branding

  • All custom email subject lines will automatically start with "[A note from your team]" - this prefix cannot be removed as it ensures employees understand that it's coming from your team, not Cocoon

  • In the email body, you can include

    • Dynamic tokens to personalize messages (such as employee name, leave start date, or leave type)

    • Links or attachments

FAQ

Who is the "sender" for custom emails?

From line will be the same email address that all Cocoon's automated emails come from: [email protected]. This email is a no-reply address.

Can we set a custom reply-to email?

At this time, no. But we would love to hear from you if this is a high-priority item for your team.
