Cocoon automates the most complex parts of leave including compliance, claims, and payroll, so HR teams can focus on what they do best: caring for employees. Whether you want to better understand an employee’s pay for a specific period, the status of their claims, or view all leaves at your company at a high level, all of this is at your fingertips in the Cocoon Admin Dashboard.

Admin Roles

Before jumping into the specifics of the Admin Dashboard it’s important to call out that there are three admin types within Cocoon—Workspace Admins, Pay Admins, and Members. Workspace Admins have the highest level of access and can assign roles to other Admin accounts based on the level of visibility they should be granted. This allows teams using Cocoon to have more oversight on the depth of information admins have access to. Admins with higher permissions (e.g. Workspace Admins) will be able to see more information—like pay details—than others (e.g. Members).

How to use the Admin Dashboard

There’s a lot you can do with Cocoon, and here’s a quick rundown of the most important things to know when you’re just getting started. Cocoon’s software and features are constantly evolving. Your screen may look a little different than these screenshots, but the key concepts remain the same!

Tasks tab

When you log into the Admin dashboard, the first thing you will see is your list of tasks, which notify you of any outstanding action items for your team to address within the Admin Dashboard. You will be notified about the following tasks:

  • Approve / Deny / Request More Information about a Personal Leave

  • Approve / Deny / Request More Information about a Leave Accommodation

  • Approve / Deny / Request More Information about an Intermittent Medical Leave

  • Approve / Deny / Request More Information about an Intermittent Caregiver Leave

  • Upload your census file

  • Record recovered amount of an employee repayment

We anticipate adding more task types later this year to ensure you have full visibility into your to-do's within Cocoon.

You can easily filter tasks with the drop down by:

  • Sort: By newest or oldest tasks

  • Status: Active, completed, or all tasks

  • Category: Leave accommodation, personal leave, census file, repayment, blocking employee, or all tasks

Tasks with a "blocking employee" status are high-priority and that indicate an employee is blocked unless the employer takes action. This will be associated with personal leaves and leave accommodations, as an employer determines whether or not the employee's leave submission is approved.

For any completed tasks, you’ll see when they were finished and by whom, ensuring your entire admin team is aligned, and you have a record of your team's actions within Cocoon.

Leaves tab

You’ll spend the majority of your time in the Leaves tab. From here, you can dynamically filter all of the leaves taken with Cocoon, view employee pay breakdowns, and see who’s returning soon.

You can locate an employee’s leave details by using the search bar. Simply type the employee's name, and relevant results will be displayed.

Filters in the Leaves Table:

The dropdown menu allows admins to filter leaves by different statuses to quickly find the information they need. You can filter leaves with Cocoon by selecting from the following options:

Leave Types:

  • Accommodation

  • Birthing Parental

  • Caregiver

  • Medical

  • Military Family

  • Non-birthing Parental

  • Personal

Leave Status:

  • Active

  • Upcoming

  • Terminated

  • Completed

  • Denied

  • Canceled

Employee Required Documentation:

  • All

  • Serious Health Condition Form

  • Fitness for Duty

  • Proof of Child

Sort by Start Date and End Date:

Leave date ranges are split into start and end dates, allowing admins to sort by either column for easier tracking and organization.

Parental Leave Context (Birthing/Non-Birthing):

Admins can now see whether a parental leave is for a birthing or non-birthing parent, adding clarity when reviewing multiple leave requests.

Outstanding Document Actions:

A new column highlights whether an employee has any outstanding actions, such as uploading key documents (e.g., proof of child, fitness for duty, or serious health condition forms).

Click “Export leaves” in the top right corner to download all leave data from Cocoon, including additional details for each leave segment an employee has submitted in Cocoon.

For more detailed information on a specific employee on leave, click on their name to view additional details. At this level we surface employee email, leave type, state, leave breakdown, leave dates, and claims information.

Please note that depending on which Admin role you are assigned, you may only have access to some employee leave data based on that role’s permissions. For information regarding what information is available by role, please see Admin roles in Cocoon.

Leave Breakdown

From this timeline view, we’ll surface employee entitlements and sources of pay throughout the employee's leave. When toggled to 'pay' in the upper right corner, the timeline graphic will highlight full pay, partial pay, and unpaid portions of the leave. By toggling on to the time icon, you will see what entitlements are available to the employee during their leave.

Clicking directly on the timeline bar, whether viewing pay or entitlements, will show a detailed breakdown of the pay source or entitlement and the dates covered.

Leave dates & Claims statuses

Scroll down to view a breakdown of the employee’s leave dates by leave type. For example, for birthing parents, we’ll break out any pre-birth disability, post-birth disability, and bonding dates as applicable.

If there are any claims associated with the employee’s leave, we’ll surface those here and display the status.

Pay details

One of the most important aspects of supporting an employee as they prepare for and take leave is understanding how their leave pay works. Leave pay can come from multiple sources, including state benefits, private disability insurance, and employer policies, and it’s not always straightforward how these payments align. Our goal is to help you understand how these various sources come together so you can effectively guide your employees and set clear expectations about their pay while they are on leave.

Insights tab

The Insights tab gives Admins a comprehensive overview of employee leave data with the ability to analyze trends over different durations.

Key metrics include:

  • Number of leaves taken: Review how many leaves have been submitted.

  • Total benefits recovered: Track the total amount of state and private benefits subtracted from leave pay.

  • Average length of leave: Understand the typical duration of leaves.

  • State benefit eligibility: See percentage of leaves eligible for state benefits.

  • Policy utilization: Gain insight into available leave time used by employees

Admins can filter insights by All time, Last quarter, and Last month to refine their analysis.

Benefits tab

In the benefits tab, you can highlight some of the great benefits your company offers. We understand that these benefits may change after onboarding. From the Benefits tab, you can self-serve and add, edit, or delete benefits. For existing benefits, click on the pencil icon to edit or the trashcan icon to remove completely. To add a new benefit you’ll need a name, link, and short description (150 characters max).

Here’s how the content shows up for employees:

Policies tab

The first section of the Policies tab is our policy tool generator, and is only available to Admins. This tool allows you to filter by leave type to see what your different employees will see available to them when planning a leave in Cocoon based on whether they are birthing or non-birthing, the state they are located in, their tenure, and whether or not they are taking pre-birth time. This tool was designed to help you as the admin see the different elements of an employee’s leave and what is available to them based on their unique situation.

The remainder of the policy tab is the same information that is available to all employees when planning their leave. This Policy tab reflects the policy information that was gathered during your onboarding. It is intended to be a short, succinct, summary of your policy and not a copy of your policy or handbook. It allows employees to quickly understand what time and pay is available to them throughout their leave.

Support tab

Clicking on the Support tab will bring you to Cocoon's Help Center. Today, Cocoon has both an Employee and Employer Help Center. The Employer Resource Center will be your go to for all post launch education. Use the Employer Resource Center to learn more about the employee experience, what to expect for payroll, how census reminders work, or additional education about leave in general. Please bookmark this in your browser for ease of access.

Settings tab

The Settings tab reflects the information about your company that was gathered during your onboarding process including general company information, Admin access, your private disability provider, state account access through private carriers (NY and HI only), your pay and HRIS systems, as well as your employer coverage for state and federal laws.

It is important that all of this information is accurate and up to date as information on this page is reflected in employee leave timelines, and impacts their claims and pay. Admins tab

In the settings page, you are able to view and manage other admins. The settings tab is located at the bottom left of your screen, directly above your name.

As your HR team grows and changes, easily add more admins by clicking ‘Add Admin’ in the right corner of this page. This brings you to the settings page where you are able to view and manage other admins. All you’ll need is their first and last name and email and the Admin role you’d like them to have.

When selecting the role, Cocoon provides what permissions are available to that role so you are able to select the correct role. After entering their details, clicking ‘Invite’ will immediately send them a welcome email to create a password for their account.

Adding a user as an Admin will allow them to access this dashboard, from which they can view company leaves, add other admins, and view and add benefits.
